Team Leader (Administration Team) – Horfield Health Centre

Often unseen by our patients, you understand how excellent administration equips our clinical colleagues to do their thing. Horfield Health Centre has patients who "consider it very fortunate to be registered with this practice" and describe a "first class health centre” where everyone is "efficient and friendly".

We welcome applications from anyone with administration experience. Previous NHS experience is preferred, but not essential.

We are looking for a total of around 67.5 hours per week, which could be split between 2 or 3 colleagues (with a minimum requirement of 20 hours per week split over 3 weekdays). Working hours are within a flexible shift pattern between 8.00am and 6.30pm Monday to Friday. Occasional Saturday working, and some weekday evenings to 8pm are required.

Pay rate offered will be dependent upon prior, relevant experience

PLEASE NOTE: interviews will take place on 05 and 06.05.2025. Virtual interviews will be an option, if required.

DUTIES

  • Dealing with Subject Access Requests (SAR’s) & facilitating full online viewing access to medical notes for patients
  • Manning the generic practice e-mail account on a rota basis, and actioning all incoming e-mails as required
  • Working with the Finance Officer on invoicing and payment reconciliation
  • Preparing, attending, minuting and actioning various meetings (e.g. palliative care, safeguarding, care homes, staff wellbeing, significant events, etc)
  • Providing administrative support for ordering of supplies using Surgery Network
  • Contributing to recall process for various chronic disease and other patient cohorts
  • General administration duties
  • Processing medical and confidential correspondence for the GP's with the ability to be conversant with medical terminology.
  • Liaising directly with patients upon any matter relating to patient care as required
  • Scanning and coding hospital letters onto medical records within EMIS Web. EMIS Web is our computerised patient management system.
  • Providing administrative support to our PCN Quality & Projects Team across a variety of work areas including spring/autumn vaccination campaigns and research
  • Maintaining strict confidentiality at all times, on all matters relating to patients, GP's and other staff in accordance with current data protection legislation

PERSON SPECIFICATION

Essential

  • Prior experience is a relevant administration role
  • Ability to deal with people professionally even when under pressure
  • Strong inter-personal and communication skills.
  • Being flexible and contributing to a strong team ethic
  • A can-do attitude
  • Willingness and desire to learn
  • Good IT skills

Desirable

  • Experience of administration, data management, and IT within a primary care health environment would be a significant advantage but is not critical
  • Familiarity with the EMIS Web patient management system
  • Customer service experience
